Employee Data Policy

How employee personal information is handled.

โ„น๏ธThis policy applies to all personal data relating to employees entered into StorBrain by business operators.

Employee Data We Process

  • Identity: Full name, employee ID, photo (if uploaded)
  • Contact: Email address, phone number
  • Employment: Job role, department, hire date, status
  • Time & Attendance: Clock-in/out times, GPS location at clock-in
  • Compensation: Hourly rates, overtime, payroll information
  • Performance: Sales per employee, transaction counts
  • Access: Login credentials (encrypted), permissions, PIN (encrypted)
  • Scheduling: Work schedules, shift assignments, availability

Employer Obligations

Notice Requirements

Inform employees that their work data is tracked in StorBrain, including what is collected, how it is used, and who has access.

Legal Compliance

Comply with: Fair Labor Standards Act (FLSA), Texas Labor Code, applicable electronic monitoring laws, collective bargaining agreements, and ADA.

Access Controls

Ensure role-appropriate access. Promptly revoke access for departed employees.

GPS Tracking

StorBrain captures GPS location ONLY at the moment of clock-in โ€” not continuous tracking. Inform employees before enabling. Location data is stored securely and accessible only to authorized managers.

Employee Rights

Employees may exercise privacy rights by contacting their employer directly. Employers are responsible for responding to employee data requests. Contact legal@storbrain.com for assistance.

Data Retention

Employee data deleted within 30 days after account cancellation.

โš ๏ธSome employment records must be retained longer under law (FLSA requires 3 years for payroll records). Export before cancellation.
